How to make a free sign-up or RSVP

Payments are optional. If there's no money involved, the form shows no prices or totals, and a free sheet costs nothing to build, share or collect responses on.

Steps

1. Describe it without prices, for example "a beach cleanup volunteer sign-up with morning and afternoon shifts, 8 people each".
2. Ask for a fitting button if you like: "make the button say Count me in".
3. Share the link or its QR code. People add themselves, no payment and no account.

A volunteer signup sheet you can copy

This is the layout most volunteer sheets use. Copy it into a document or spreadsheet for a paper sheet, or paste the rows into Jupiter Signup as your description.

Shift, role and spots are yours to fill in. Name, contact and notes are what each volunteer writes. On paper, repeat each row once per spot so there's a line for every person. Online, you write each shift once with its limit, and it stops taking people when it's full.

Making it online instead of on paper

1. Describe the shifts: "volunteer sign-up for the school fair: setup 8 to 10 for 6 people, check-in 10 to 12 for 3, food station 10 to 12 for 4, cleanup 12 to 2 for 6. Ask name, email, phone and any notes."
2. Check the preview, and change anything by saying it ("let people pick more than one shift", "add a t-shirt size").
3. Share the link, or print its QR code poster for a door or a newsletter.
4. Watch sign-ups arrive in Results, and download them as a spreadsheet (CSV) when you need a printed list for the day.

Is Jupiter Signup a good volunteer signup app?

For a plain free volunteer list, a general sign-up tool like Grasshopper Signup is excellent and worth a look. Jupiter Signup is the better fit when a volunteer sign-up also collects money, a paid volunteer event, a fundraiser dinner, or a camp, because payment is built in through your own Stripe account alongside capacity and a waitlist. A free volunteer sheet costs nothing to run here either.

Common questions

What fields should a volunteer sheet have? Name and one way to reach them (email or phone) are enough for most events. Add the shift and role, and a notes box. Only add an emergency contact or t-shirt size if you will use it: every extra question loses some sign-ups.

Can I limit how many people take each shift? Yes. Give each shift its own number and the sheet shows how many spots are left, then marks the shift full. The limit is enforced on our server, so two people can't grab the last spot at once.

Can volunteers see who else signed up? No. They see how many spots are left, not the other names. You see everyone in Results. If your group expects a sheet where everyone's name is visible, a paper sheet or a shared spreadsheet does that better.

Does it send reminders? Yes, by email, on the free plan: a sheet with dates sends each volunteer an email the day before their shift, on its own. Text reminders are on the Pro plan ($10 a month). Right after signing up, volunteers get a confirmation email and can add the shift to their calendar.

What does it cost? Nothing for a free sheet: no limit on sheets or sign-ups, and no account needed for the people signing up.
